We are currently looking for a highly motivated insurance professional to join our team as a Receptionist.
The Receptionist serves as the first point of contact for clients, visitors, and vendors, providing a welcoming and professional presence at the front desk.
This role is responsible for managing incoming calls,
handling administrative tasks, and ensuring smooth office operations. The Receptionist plays a key role in creating a positive first impression while supporting the team with clerical duties and organizational tasks.
ESSENTIAL FUNCTIONS:
- Front Desk and Client Interaction:
- Greet and welcome visitors in a friendly and professional manner, directing them to the appropriate person or division.
- Answer, screen, and route incoming calls promptly and efficiently.
- Maintain a clean and organized reception and kitchen area to create a welcoming environment.
- Administrative Support:
- Manage and distribute incoming and outgoing mail, packages, and deliveries.
- Assist with scheduling conference room reservations.
- Maintaining carrier log-in needs for employees
- Office Coordination and Communication:
- Assist with internal communications, including company announcements.
- Support various divisions with data entry, document preparation, and small projects.
- Help coordinate office events, meetings, and visitor accommodations.
- Customer Service and Assistance:
- Respond to general inquiries via phone, email, and in person, providing accurate information and assistance.
- Assist clients with basic requests and direct them to the appropriate team member when necessary.
- Technology and System Management:
- Utilize office software and management systems to maintain records and process administrative tasks.
- Troubleshoot minor office equipment issues and coordinate with IT or vendors for repairs.
- Other Duties and responsibilities as assigned
REQUIRED SKILLS AND ABILITIES:
- Experience: 1-2 years of experience in a receptionist, administrative, or customer service role.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, Outlook) and ability to learn office management systems.
- Communication Skills: Strong verbal and written communication skills to interact professionally with clients, visitors, and staff.
- Organizational Skills: Excellent attention to detail, time management, and ability to multitask in a fast-paced environment.
- Customer Service: Friendly, professional demeanor with a strong commitment to providing excellent service.
- Problem-Solving: Ability to handle minor office issues independently and escalate concerns when necessary.
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting and working on a computer.
- Ability to lift up to 20 pounds for office supply management.
- Frequent walking or standing to assist visitors and manage office tasks.
